Patient growth held year on year; call response needs attention.

August delivered 79 new patients, down from July’s record 103 and above the 54 recorded in August 2025. Phone demand rose to 296 inbound calls. CC paid search generated fewer clicks at a higher average cost.

A stronger August than last year.

New patients increased by 25 year on year. January–August reached 600, ahead of 487 in the same period of 2025.

Missed and voicemail calls need urgent attention.

46 calls were not answered live: 30 no-answer and 16 voicemail. Tighten call coverage so patient enquiries are answered or returned quickly.

Search efficiency weakened.

CC search spend rose 5.0% to $4,864.42 while clicks fell 34.5% to 199. Average cost per click increased from $15.24 to $24.44.
02

Local discovery remains strong, with gaps after first contact.

Local search drives most tracked calls.

The Google Business Profile phone line received 263 calls, up from 225 in July. That represents 88.9% of August’s inbound call volume.

Enquiry quality needs attention.

August shows 12 enquiries, with half sitting in the existing-patient status. The priority is to keep new-patient enquiries clearly separated from existing-patient follow-up.

Patient totals and ad outcomes differ.

Clinic new-patient counts, call events and advertising leads measure different activity. Keep them separate and verify booked and attended outcomes before judging cost per acquired patient.

July looks like the spike, not the new baseline.

August stepped back from July’s record 103, but 79 still sits above the January–June run rate of 69.7. Treat July as a high-water mark and August as a healthier baseline to protect.

Demand is stronger than last winter.

August added 25 more new patients than the same month last year. That points to better underlying acquisition, even though the month did not repeat July’s surge.

The year-to-date lead is large enough to defend.

Cockburn is 113 new patients ahead of 2025 after eight months. The next priority is protecting that gain through call recovery and cleaner lead attribution, not chasing volume alone.
06

12 enquiries with a mixed patient profile.

Seven enquiries are linked to Google Ads, while five still need attribution review. Confirming booked or attended outcomes will make cost-per-patient assessment more reliable.

296 inbound calls, with 46 not answered live.

Call volume rose 2.8% from July’s 288, but answered calls fell from 283 to 250. The live answer rate declined by 13.8 percentage points, from 98.3% to 84.5%. The 30 no-answer calls and 16 voicemail events should be addressed so fewer patient enquiries go unanswered.

117 calls carry the first-time flag.

179 calls are returning callers, and 117 are first-time callers (39.5%). These calls should not be treated as confirmed new patients until appointment outcomes are checked. The website call pool received six calls; five came through Google paid activity and one through Google organic activity.
Reception follow-up

Reduce no-answer and voicemail calls.

Review every no-answer and voicemail event, confirm callback completion, and identify the times or workflows causing calls to go unanswered. This gives the team a clear path to lift live answer rate and return enquiries faster.

Search efficiency

Higher engagement did not offset rising click costs.

The share of impressions that became clicks improved from 8.84% in July to 12.61%, but the ad footprint contracted. Non-brand search used 93.7% of spend and produced 67.3% of clicks. Review search terms, bids and ad visibility before increasing spend. Brand remained the lower-cost campaign for clicks.
Measurement

Four Google Ads leads need outcome matching.

Google Ads shows four leads. Spend divided by those leads is $1,216.11, but that is not the cost per booked or treated patient. Compare this with booked and attended outcomes before judging patient acquisition efficiency.
10

The Cockburn new-patient page carried CC Google Ads traffic.

August CC Google Ads clicks went to the Cockburn new-patient offer page. Veneers and Invisalign remain active campaign pages, but no CC Google Ads clicks were recorded to those pages for August.

Paid social is the largest visible session source.

Organic search and referrals also contribute substantial traffic. Keep the shared website easy to navigate by clinic and service, and compare page-level enquiries before attributing session growth to new-patient growth.
12

Patient growth and shared traffic provide a positive base.

Best August in recent history.

79 new patients exceeded every August total from 2023–2025.

600 new patients year to date.

The clinic added 113 more new patients than in January–August 2025.

Meta delivered more clicks efficiently.

Shared-account clicks rose 30.6% with only a 1.3% increase in spend.
13

Priorities arising from August’s results.

1

Reduce no-answer and voicemail calls.

Owner: Reception team
Review the 30 no-answer and 16 voicemail events, confirm every callback, identify the busy periods or workflow gaps causing calls to go unanswered, and track live answer rate weekly until it returns to target.
2

Confirm enquiry attribution.

Owner: Shoutout Digital and reception team
Confirm each enquiry channel, review the five enquiries awaiting attribution, and keep new enquiries separate from existing-patient activity.
3

Improve CC non-brand search efficiency.

Owner: Shoutout Digital — Google Ads team
Review search terms, bids and delivery after average cost per click rose to $34.03 for non-brand. Link decisions to verified booking outcomes and avoid increasing budget solely to replace lost click volume.
4

Verify channel outcomes and landing-page performance.

Owner: Shoutout Digital; Reception team
Confirm CC conversion actions and deduplication across calls and forms. Record bookings and attendance, and review enquiries from the three existing landing pages.
